About the Role
We are looking for an Import & Export Specialist (m/f/d) to support our logistics and trade
compliance operations in Germany. In this role, you will manage end-to-end import/export
processes, ensure customs compliance, support efficient logistics processes, coordinate
with freight partners, and maintain accurate shipping and trade documentation. This role
involves handling documentation, insurance, cost management, and system data
maintenance to facilitate smooth import and export transactions.

Key Responsibilities

  • Coordinate and execute international shipments (import/export) by air, sea, and road,
    including transport arrangement and delivery monitoring
  • Prepare, review, and verify all customs and shipping documentation (e.g.,
    commercial invoices, packing lists, certificates of origin, export declarations) to
    ensure accuracy and regulatory compliance
  • Ensure compliance with German/EU customs regulations, internal trade compliance
    requirements, and CBAM reporting obligations (compile and submit required CBAM
    data)
  • Liaise with customs authorities, brokers, freight forwarders, carriers, suppliers, and
    internal stakeholders to ensure smooth customs clearance and on-time delivery
  • Monitor shipment status, resolve delays, and manage exceptions (claims, damages,
    missing/incorrect documentation)
  • Manage shipment-related insurance coverage, including policy handling, claim
    submissions, and administrative processes (e.g., contract stamping applications
    where applicable)
  • Maintain and update import/export master data and shipment records in
    ERP/logistics systems, including document number creation, issuing notifications,
    uploading supporting documents, and ensuring data integrity
  • Handle INCOTERMS-related processes, cost control activities, freight invoice
    verification, and reimbursement/payment applications (including documents and
    expense claims submitted by Procurement)
  • Prepare monthly estimates for import-related expenses and support expense tracking
    (freight, customs duties, insurance premiums, etc.)
  • Perform monthly reconciliation/confirmation of import and export transactions
  • Prepare and submit export permit applications, ensure compliance with government
    regulations and company policies, and track progress through approval
  • Contribute to process optimization, standard operating procedures (SOPs), and KPI
    reporting for import/export operations

Qualifications

  • Completed vocational training or degree in logistics, international trade, supply chain,
    business administration, or a related field
  • 2+ years of hands-on experience in import/export operations, customs, or
    international logistics (preferred)
  • Strong knowledge of customs procedures and trade documentation (EU/Germany);
    experience with ATLAS is an advantage
  • Confident handling of INCOTERMS and international shipping terms
  • Proficiency in MS Office; experience with ERP systems (e.g., SAP or similar) is a plus
  • Languages: German C1 and English C1 required; Mandarin is a plus
